Recruitment Privacy Notice

This notice explains what ET Planning Ltd does with the personal information you give us when you apply for a job or tell us you are interested in working here. It sits alongside our main privacy policy, which covers the rest of the website.
Who we are
ET Planning Ltd is the data controller. We are a town planning consultancy based at 200 Dukes Ride, Crowthorne, Berkshire, RG45 6DS. If you have any questions about this notice, email enquiries@etplanning.co.uk or call 01344 508048.
What we collect
When you apply for a role or register your interest through the website, we collect:
- Your name, email address and, if you give it, your phone number
- Your CV and anything you write in the application form
- Links you choose to share, such as a LinkedIn profile
- Your current role or situation, if you tell us
- The date and time you applied, which role you applied for, and the page you came from
If we invite you to interview we may also keep interview notes, references and the outcome of the process.
We do not ask for, and would rather you did not send, information about your health, ethnicity, religion, sexual orientation or political views. If you need adjustments for an interview, tell us and we will keep that information separately and only use it to make those arrangements.
Why we use it and our lawful basis
We use your information to assess your application, to contact you about it, and to decide whether to offer you a role. The lawful basis is that this is necessary before entering into a contract with you, and that we have a legitimate interest in recruiting people to the company.
If you tick the box asking us to keep your details for future roles, we do that on the basis of your consent. You can withdraw it at any time by emailing us.
Who sees it
Your application is seen by the directors and anyone in the company involved in recruiting for that role. We do not share it with anyone outside the company unless we need to take up a reference, and we will ask you first.
Our website and application records are hosted by Convex, Inc. and emails are sent through Resend, both of which process data on our behalf under contract. Your CV is stored on their servers in encrypted form.
How long we keep it
- If your application is unsuccessful, or you withdraw, we delete your CV and anonymise your record six months after the decision.
- If you register interest without applying for a specific role, we keep your details for six months, or for twelve months if you asked us to keep them on file for future roles.
- If we hire you, your application becomes part of your employment record.
Technical details such as your IP address are removed after 90 days.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. You can also object to us using it or ask us to restrict what we do with it. To do any of these, email enquiries@etplanning.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this notice
We record the version of this notice that was in force when you applied. If we make a material change we will publish a new version here.
